Design Policy for Custom and Premade Book Cover Designs
Welcome to Writerly Owl Designs. We are thrilled to collaborate with you on your custom or premade book cover. To ensure a smooth and successful design process, please review and agree to the following Book Cover Design Policy before submitting your request.
1. General Terms

By submitting a request, you agree to the terms outlined in this Book Cover Design Policy.

All design services are provided on a first-come, first-served basis. Availability may vary depending on current workload and deadlines.

Custom designs will begin once the required deposit of full payment is received.
2. Scope of Work

Custom Covers:
-
Includes an initial consultation, design concept, and up to two rounds of revisions (unless otherwise stated in your package).

Final files include eBook covers (JPEG) and, if applicable, print covers (PDF for print-ready files with full layout). You’ll be required to provide the template from your printer to ensure the correct specs are used.

Premade Covers:

You will receive the cover design as shown, with minor text adjustments (title, author name). No further customizations are included unless explicitly agreed upon, if possible.

As with custom covers, you’ll be required to provide the template from your printer to ensure the correct specs are used if you also require a print cover.

3. Project Timeline

The standard turnaround time for custom covers and interior design elements is 6-12 weeks (or approximately 30-60 business days), depending on the complexity of the design and the current workload.

Expedited services are available for an additional fee but must be discussed during the consultation phase.

The timeline may be extended if delays are caused by incomplete or missing client feedback. For days over 12 weeks, there will be additional charges.
4. Revision Process

Custom covers include two rounds of revisions to ensure the design meets your vision.

Revisions beyond the included rounds will be billed at $50 | £40 | €45] per round.

Unless otherwise arranged, revisions for premade covers are limited to text changes (title, author name, tagline). The price of customization beyond the standard depends on the complexity of the customization.
5. Content and Copyright

Custom Cover Designs:

You, as the client, confirm that all provided images, graphics, and text (e.g., titles, subtitles) do not infringe on the intellectual property rights of others.

Writerly Owl Designs will not be held liable for any legal issues that arise due to the content you provide.

Upon final payment, you will receive the rights to use the book cover design for commercial purposes (e.g., publishing, marketing).

Premade Covers:

Premade cover designs are sold as is with exclusive rights to the buyer (unless customizations are commissioned). Once a premade cover is purchased, it will no longer be available for sale to other clients.

Upon purchase, you’ll receive the rights to use the design for commercial purposes, with the exception of reselling the cover as a standalone design.

6. Payment Terms

A 50% non-refundable deposit is required for custom-cover projects before work begins.

The remaining balance is due upon approval of the final design, prior to the release of high-resolution files.

Payments for premade covers must be made in full before receiving the final design files.

All payments are made through Payoneer, which offers several payment methods, such as credit card, PayPal, bank transfer, etc. Each payment has a different processing time, and fees may be applied depending on your location.
7. Cancellation Policy

Custom Cover Design:

If you choose to cancel the project before the first design draft is presented, you will be refunded the deposit minus an administrative fee of 50% of the deposit and relevant transaction fees.

If the cancellation occurs after the first draft or beyond, no refunds will be provided, and the project will be considered complete.

Premade Covers:

Premade cover purchases are non-refundable due to the exclusive nature of the product.

8. Communication and Feedback

Clear and timely communication is key to a successful collaboration. You agree to provide feedback within two business days of receiving drafts or revisions.

Delays in feedback may result in extended project timelines or additional fees if rush services are later required.
9. File Delivery

Final design files will be delivered in high-resolution formats, suitable for digital and print publishing, including:

Print-ready cover (PDF with bleed and trim marks) if applicable

Any additional file formats required can be discussed as part of your package or as add-ons.
10. Credits and Promotion

Design Credits: You agree to credit Writerly Owl Designs as the cover designer in your book (e.g., “Cover Design by Writerly Owl Designs”).

Portfolio Use: Writerly Owl Designs retains the right to use the completed cover designs for portfolio purposes, promotional materials, and social media unless otherwise requested by the client.
11. Additional Services

Services beyond the scope of the original agreement (e.g., social media graphics, marketing materials, additional revisions) will be billed at an additional hourly rate or flat fee, depending on the request.
12. Limitations of Liability

While we strive for perfection, we are not responsible for any issues that arise due to print errors, improper file handling by third-party printers, or incorrect specifications provided by the client.

Any rework required due to third-party errors (e.g., printers) will incur additional fees.
Agreement and Acceptance
By submitting your request for custom or premade cover design services, you acknowledge that you have read, understood, and agree to abide by the terms outlined in this Book Cover Design Policy. Payment also signifies acceptance of these terms, and the project will commence under these agreed guidelines.
